Foreign Employee Onboarding Checklist
Everything HR needs to confirm before a foreign employee's first day.
Written for: HR teams onboarding a foreign hire into a Kenyan entity.
What this covers
Immigration approval is the start of onboarding, not the end of it. A newly-arrived employee still needs the registrations, records and internal setup that make their employment compliant on an ordinary Tuesday six months later — and that is the part most onboarding processes skip.
This checklist covers the period from approval to settled employment. It sets out what to verify before the first day, what to register and record once the employee is in the country, what belongs in the employee's immigration file, and which dates need to enter your renewal calendar immediately rather than later.
It also flags the moments that change an employee's immigration position and therefore require a fresh look: a change in role or reporting line, a move between group entities, a family member joining them, or a period spent working outside Kenya. Each is a point where a compliant file can quietly stop being compliant.
- Pre-arrival verification steps
- Registrations and records required after arrival
- What belongs in the employee's immigration file
- Dates that must enter the renewal calendar on day one
- Changes that alter an employee's immigration position
- Handover notes so the file survives a change of HR owner
Prepared by the CKN Civis Africa advisory team. This resource is general information about Kenyan immigration practice, not legal advice on your specific circumstances — for that, book a consultation.
Available on request. Rather than an instant download, an advisor prepares and sends the current version — immigration rules change often enough that a stale document does more harm than none.
